General Policies, Procedures & Information
| 1. Membership dues are $15.00 per year payable each May.
2. Members are asked to make a nametag using the pattern provided by the Vice President. The nametag should be worn at each meeting.
3. Program leaders will be paid from the Treasury for their supplies used in demonstrations at a rate not to exceed $10.00.
4. There will be an ornament exchange at the Annual Christmas Luncheon. Ornaments are to be made with cloth, needle and thread.
5. The Secretary will send a card from the Club to any member who is hospitalized for an overnight stay or longer. Flowers will be sent if there is a death in a member's immediate family (spouse, parents or child). In the event of the death of a member, the Executive Board will determine whether to send flowers or make a donation, not to exceed $50.00, in the member's memory to a charity or organization in which the deceased had a particular interest. Members are urged to keep the Secretary advised of any event requiring such action.
6. Cards from individual members and "Thinking of You" blocks are always appropriate. A "Thinking of You” pattern is included in the Yearbook. This block can be sent to a Club member as a friendly gesture, as a "thank you", as a "get well soon", as a "Happy Birthday” or just to let one know they are being thought of by someone.
7. The square-in-a-square block is to be used as a "member going away" block. These blocks are given to any member who is moving out of the area. This pattern is also included in the Yearbook.
8. A gift from the Club will be given to the President at the end of her term. This gift will be a block from each member, and coordination of this project will be the responsibility of the Vice President.
9. Workshop Policies:
1. The Club membership will approve the teacher and content of any workshop.
2. Whenever the Club offers a workshop with limited enrollment, Club members will be given priority before non-members are enrolled. If the workshop quota is not filled by a specified deadline, non-members will be accepted. A waiting list of interested non-member parties will be maintained.
3. Full refund of a registration fee will be made up to two weeks before the workshop date. After that, a refund will be given in the following circumstances:
1. The vacancy can be filled immediately either from a waiting list or by other means; or
2. The canceling registrant has an unexpected/catastrophic occurrence that prevents their attendance (generally due to their illness or serious illness of an immediate family member, a death in the family or similar occurrence) and the vacancy cannot otherwise be filled.
10. The Executive Board may appoint the following as deemed necessary each year:
1. The Program Chairman will be responsible for planning and organizing all monthly programs and will assist the Workshop Chairman in planning the annual workshop.
2. The Workshop Chairman will be responsible for planning a minimum of one (1) workshop per year. The Workshop Chairman is required to have served a minimum of one (1) year as Program Chairman.
3. The Block-of-the-Month Coordinator(s) will plan and present the monthly blocks.
4. The Historian will keep records and photos of all Club and member activities.
5. The Newsletter Chairman will be responsible for producing a monthly newsletter and preparing the annual Yearbook.
6. The Librarian will maintain the Club Library.
7. The Raffle Coordinator will organize monthly raffles as well as raffles for the Christmas and Spring Luncheons.
8. The Merryvale Coordinator will manage the sale of all Merryvale fabric packets.
9. The Hospitality Chairman will be responsible for scheduling refreshments for all meetings and for maintaining an inventory of all supplies.
10. The Publicity Chairman will make all necessary contacts with the newspapers, Chamber of Commerce and any other sources to promote awareness of the Club’s activities.
11. The Interest Group Coordinator(s) will coordinate each group’s activities and report on such activities to the Club and to the Newsletter Editor.
12. The Sunshine Chairman will be responsible for organizing the making of all charity quilts and their distribution.
13. The Challenge Chairman will be responsible for setting the rules of the challenge, organizing their display and distributing awards at the Spring Luncheon.
